Privacy Policy

1. What we collect

• Account information: your name, email address, company name and role, and a password if we issue one.
• Your records: the vendors, drivers, subcontractors, providers, documents, dates and notes you or your company enter, import or upload.
• Activity logs: who or what viewed or changed a record and when, including questions asked through a connected AI assistant.
• Support messages: what you send us by email or through the in-app help form.
• Billing information: handled by Stripe; we see the plan, the status and the last four digits of a card, never the full number.
• Technical information: standard server logs (IP address, browser, pages requested) kept for security and troubleshooting. We don't use advertising trackers.

2. How we use it

To run the service for you: showing your board, sending the reminder emails you've switched on, answering questions you or your assistant ask, billing your plan and helping you when you contact us. We also use aggregate, non-identifying usage information to understand which features are used.

3. What we don't do

• We don't sell or rent personal information, and we have not done so in the past twelve months.
• We don't run advertising or share information with advertisers.
• We don't use your records to train AI models.
• We access your records only to run the service for you, at your request, or when the law requires it.

4. Connected AI assistants

Connecting an assistant is optional. When you connect one, the questions you ask it and the answers it receives pass through that provider (for example Anthropic, OpenAI, Google or Microsoft) under that provider's own terms and privacy policy. Connections start read-only, every lookup is written to your activity log, and connection keys are stored only as one-way hashes.

5. Who else handles your data

Google Cloud (hosting, databases, file storage and sign-in), Microsoft 365 (email delivery) and Stripe (payments), all in the United States. Each processes data only to provide its service to us. The current list is also on the security page.

6. Retention and deletion

Your records stay as long as your account is open. If you close your account and ask us to delete your data, we delete it within 30 days, except for records we are legally required to keep (for example invoices). Server logs are kept for a limited period for security.

7. Your choices and rights

• Export your records as CSV at any time from the app.
• Turn reminder emails on or off, and manage or revoke AI connections, from your settings.
• Ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing support@artificl.us. We will not treat you differently for exercising these rights.

Artificl serves customers in the United States. If you are outside the United States, please contact us before using the service, as we do not currently offer the additional protections some jurisdictions require.

8. Records that belong to other people

Many records you enter are about your vendors, drivers, subcontractors or providers. You are responsible for having the right to hold that information and for telling those people what you do with it. Please do not upload protected health information; Artificl apps are not designed for it.

9. Children

Artificl is a business tool and is not directed at anyone under 18. We do not knowingly collect information from children.

10. Changes and contact

If we change this policy in a way that matters, we will email account holders and update the date at the top. Questions go to support@artificl.us.
